Record the approved sample configuration
Before testing, record the model reference, voltage, plug, finish, accessories, packaging version and firmware or control version where relevant. A sample is only useful as a reference when the production specification can be traced back to it.
Mark requested changes separately from accepted features. This prevents an unapproved prototype adjustment from becoming an accidental production requirement.
Test function under realistic use
Create a short test plan that covers start-up, normal operation, controls, noise, heat, cleaning, safety cut-offs and recovery after interruption where applicable. Record the environment and test duration so two samples can be compared fairly.
Do not convert one successful demonstration into a blanket performance claim. Repeatable production testing and market-specific validation are separate steps that should be documented before launch.
Review safety, labeling and documentation
Check that warning labels, user instructions, rating plates and packaging language match the destination market and the exact sample configuration. Request the applicable technical file or test documentation from the supplier for professional review.
Compliance responsibility depends on the product, market and supply arrangement. Buyers should obtain legal or regulatory advice where required and should not publish a generic certification statement without document-level verification.
Close the sample approval loop
Use a written sample approval form with photos, measurements, open issues, responsible parties and a target resolution. For OEM work, include artwork, logo placement, carton specifications and accessory lists in the same revision-controlled package.
